General Terms and Conditions
Under Presidential Decree 339/1996, pursuant to Directive 90/314/EEC
For all organized trips, holidays, accommodation-only arrangements, car hire, transportation, business travel, leisure travel, and other travel services organized by our company or provided through third-party providers, the client and/or the client’s representative acknowledges, accepts, and agrees to comply with the following terms and conditions before committing to the purchase of any services by making a full payment or deposit.
Prior to making any purchase or commitment, the client and/or the client’s representative acknowledges and agrees to comply with all terms and conditions applicable to the services provided by our company or by third-party providers. The client is responsible for ensuring that all personal identification and travel documents, including identity cards, passports, visas, and any other required documents, as well as any applicable health requirements, including vaccinations, are valid and in order before travelling.
The client is also responsible for ensuring that the correct name(s), exactly as shown on the relevant travel documents, are provided at the time of booking. The client may be required to provide or present a passport, identity card, or other legally valid travel document at the time of booking.
i. General
The information, data, and recommendations contained in these General Terms and Conditions are checked for accuracy and general validity at the time of publication. They apply unless otherwise stated in the relevant programme or in the terms and conditions applicable to a particular transport service, excursion, or other travel service.
Printed material and other information may be subject to change due to frequent and temporary changes in circumstances worldwide, particularly in relation to transportation, international relations, regulations, and other external factors. Where such changes occur, the client will be notified as soon as reasonably possible.
ii. Reservations – Payments
EGC Services provides booking and reservation services for travel arrangements offered by our company and/or by third-party providers.
The client and/or the client’s representative agrees that full payment must be made prior to the date of travel, unless otherwise agreed in writing.
If full payment is not received by the required deadline, our office reserves the right to cancel the booking and apply any applicable cancellation charges in accordance with the cancellation terms set out herein or those imposed by the relevant third-party provider.
Where a reservation is made through a client’s representative, the representative is responsible for informing the client of all applicable terms and conditions.
iii. Travel Services – Prices – Charges
Booking Fee
EGC Services charges a booking / administrative fee for its services.
Prices
Prices are calculated on the date on which the applicable price list is issued and are based on the cost of the services included in each trip, applicable fares and surcharges, taxes, foreign exchange rates against the Euro, and any other relevant cost factors.
After taking all reasonable measures to forecast and maintain pricing, our office reserves the right to adjust prices if the underlying cost factors change.
The price of a trip may be adjusted up to 20 days before the departure date due to unforeseen increases in transportation costs, foreign exchange rates, fuel costs, taxes, or other applicable charges.
If the price of a trip increases by more than 10% of the total trip value, the traveler has the right to request cancellation of the reservation and a refund of the amount attributable to the applicable price increase, whether the relevant services are provided by our company or by a third-party provider, subject to the applicable terms and conditions.
iv. Obligations of Our Tourism Services
We are responsible for coordinating and providing our travel services to the best of our ability and with reasonable care, taking into account circumstances that can reasonably be anticipated.
However, we cannot be held responsible for acts, omissions, or failures of third parties, partners, carriers, accommodation providers, or other service providers, or for circumstances beyond our reasonable control.
Such circumstances may include, but are not limited to, cancellations, delays, changes to routes or transportation vehicles (including aircraft, ships, buses, and trains), closures or restricted access to areas due to embargoes, terrorist acts, strikes, technical problems, adverse weather conditions, or other unforeseen circumstances.
We cannot control or predict delays involving charter flights, scheduled flights, ships, or other means of transportation caused by technical, weather-related, operational, or other reasons.
We cannot be held responsible for circumstances outside our sphere of influence that may result in the cancellation of a trip or in damage arising from the non-performance or improper performance of agreed services.
Such circumstances may include, but are not limited to:
• strikes;
• accidents;
• illness, epidemics, or pandemics;
• local conditions or disruptions;
• altitude or climatic conditions;
• circumstances arising because meals are not included in the travel programme;
• inadequate hygiene conditions resulting from external factors;
• injury or hardship resulting from war, civil unrest, coups, terrorism, or hijacking;
• earthquakes;
• adverse weather conditions;
• fires;
• toxic contamination; and
• any other event or circumstance constituting force majeure.
In such circumstances, we shall not be liable for compensation for any loss or damage resulting directly from such events. Nevertheless, we will make every reasonable effort to assist and support our travelers.
Any complaint arising during the trip must be reported immediately and in writing to the tour escort or representative, or, in their absence, directly to our office and to the relevant service provider.
If the issue cannot be resolved during the trip, any complaint must be submitted in writing to our office within seven (7) working days of the traveler’s return, together with all relevant documentation and supporting evidence.
After the expiry of this seven-day period, the agency shall have no obligation to consider or respond to claims submitted outside this timeframe, to the extent permitted by applicable law.
Following the traveler’s departure, where any loss or damage results from the non-performance or improper performance of travel services, any compensation shall be limited to the amounts provided for under the applicable international conventions binding upon the relevant country and governing the services concerned.
Unless otherwise required by applicable law or international conventions, compensation for non-performance or improper performance of travel services shall be limited to twice the value of the traveler’s trip price.
A minimum number of 20 participants may be required for a tour to operate. If the minimum number of participants is not reached, we reserve the right to cancel the trip, notify the participants, and refund the amounts paid, without any further obligation, subject to applicable law.
Services not expressly included in the travel programme, services described as optional, or services not offered by us are not included in the quoted price and may be available at an additional cost, subject to availability and the relevant provider’s terms and conditions.
Where optional activities or excursions are arranged by local agencies or other third-party providers, our office shall not be responsible for their performance, except to the extent required by applicable law.
On many trips, the tour escort or representative will accompany the group to and from the relevant destination.
We do not guarantee the operating hours or opening days of markets, shops, attractions, or other establishments in each country visited.
v. Travelers’ Obligations and Responsibilities
As organized travel involves other travelers, appropriate conduct and cooperation are required from all participants.
Travelers must comply with the travel programme and with the reasonable instructions and recommendations of tour escorts and representatives.
Travelers must arrive on time at all designated meeting points, including airports, ports, transfer points, tour departure points, excursion locations, restaurants, and other scheduled locations.
If a traveler’s delay or failure to comply with the agreed schedule results in the traveler missing a transfer, excursion, tour, journey, or other service, the traveler shall be responsible for reconnecting with the group at their own risk and expense and shall have no right to reimbursement for the missed service.
Our office will make every reasonable effort to assist the traveler in such circumstances.
Travelers should arrive at airports and ports at least two hours before the scheduled departure time, unless the carrier or service provider requires an earlier arrival.
Missing any part of a journey or means of transportation due to the traveler’s delay may result in the loss of the remaining services, without any right to reimbursement, subject to the applicable terms and conditions.
Any costs incurred in reconnecting with the group shall be borne by the traveler. Our office will provide reasonable assistance wherever possible.
If a traveler voluntarily interrupts the trip and leaves the group, they shall not be entitled to reimbursement for unused services or to any further services provided as part of the organized trip. Any resulting responsibility, costs, or travel expenses shall be borne by the traveler.
Likewise, our office shall not be responsible for transportation, excursions, or other services missed by the traveler due to the traveler’s negligence, failure to comply with instructions, or personal circumstances, including illness, except where otherwise required by applicable law.
vi. Accommodation – Transfers
All information relating to the categorization and classification of hotels and other accommodation included in our programmes is based on the applicable classification systems and laws of the relevant country. Hotel classifications and accommodation standards may therefore differ from one country to another.
The accommodation provider is responsible for the services it provides, including room allocation, check-in and check-out procedures, operating hours, facilities, and the applicable terms and conditions.
EGC Services shall not be responsible for the services provided by an accommodation provider or for changes to those services made by the accommodation provider, except where otherwise required by applicable law.
Our company takes reasonable measures and conducts appropriate checks to ensure that the information provided to the client and/or the client’s representative is accurate at the time of booking.
In the case of individual travel, if a traveler is expected to arrive late at a hotel, the traveler or our office should notify the hotel in advance. Where appropriate and subject to the hotel’s terms and conditions, the hotel may cancel a reservation if the traveler fails to arrive as expected.
The agency reserves the right to replace a hotel specified in the programme with another hotel of the same or a higher category, where necessary, without this constituting grounds for cancellation, subject to applicable law. Any such change will be communicated to the traveler as soon as reasonably possible.
Transfers by Land
Land transfers may be subject to delays due to unforeseen traffic, road, weather, or other conditions.
Transfers by Sea
Sea transfers may be affected by weather conditions, operational changes, or other unforeseen circumstances.
It is the traveler’s responsibility to contact the relevant carrier before travel to confirm that the scheduled departure time and other travel arrangements have not changed.
Travelers are also responsible for arriving at the relevant port on time and allowing sufficient time for check-in and boarding procedures.
Air Travel
For all flights, it is the traveler’s responsibility to contact the airline prior to departure to confirm the flight schedule.
Travelers must arrive at the airport at least two hours before the scheduled departure time, or earlier if required by the airline.
Travelers are responsible for ensuring that all required travel documents are valid and in order.
The traveler acknowledges and agrees that, for operational or other reasons, an airline may sometimes operate a flight using an aircraft operated by another airline or carrier. Such an arrangement shall not, in itself, constitute grounds for cancellation of the trip by the client, subject to applicable law.
vii. Passports, Identity Cards, Visas and Health Requirements
It is the traveler’s responsibility to ensure that all travel documents are valid and in order before travel.
If the traveler is uncertain about visa, passport, entry, or other travel requirements, they should contact the relevant Embassy or Consulate before travelling.
EGC Services may, where requested, assist the traveler in communicating with the relevant Embassy or Consulate. However, EGC Services shall not be responsible for the decision of any competent authority regarding the issuance or refusal of a visa.
The traveler is responsible for obtaining any required visa within the required timeframe.
Nationals of countries other than the country in which the booking is made, including holders of foreign passports, are responsible for personally contacting the consular authorities of their country of nationality and those of the countries they intend to visit to confirm the applicable entry and visa requirements.
Failure to obtain a visa or other required travel document within the required timeframe does not constitute grounds for cancellation without applicable cancellation charges.
Travelers are also responsible for contacting their doctor and/or the relevant health authorities to determine whether vaccinations or other health requirements apply to their destination.
Certain vaccinations may need to be administered a specific period before departure. Travelers should therefore make the necessary arrangements as early as possible.
viii. Travel Insurance
Travelers are strongly advised to obtain comprehensive travel insurance before departure covering the entire duration of their trip.
We recommend that the insurance policy include, where available:
• medical and healthcare expenses;
• baggage loss, theft, or damage;
• travel and transfer delays/cancellations;
• emergency assistance and repatriation;
• theft or loss of personal belongings; and
• loss or theft of travel documents.
All insurance coverage is subject to the terms, conditions, exclusions, and limitations of the relevant insurance provider and policy.
ix. Baggage
Baggage is transported at the traveler’s own risk, regardless of whether it is accompanied by a representative of our office.
In the event of baggage loss, damage, or delay, the applicable international conventions and the terms and conditions of the relevant carrier, hotel, or service provider shall apply. Any liability shall be limited in accordance with the applicable laws, conventions, and terms and conditions.
Any charges resulting from excess baggage or overweight baggage shall be paid by the traveler, normally directly to the relevant carrier or service provider.
Travelers must ensure that they comply with the applicable baggage allowance, particularly where international or domestic transfers involve different airlines or carriers.
Baggage allowances may differ between carriers. For example, one carrier may permit two pieces of checked baggage, while another may impose a maximum weight limit of approximately 20 kg.
Travelers are responsible for checking the baggage allowance applicable to each sector of their journey before departure.
x. Cancellations
Cancellations requested by the traveler will only be accepted and considered when submitted in writing to our office, regardless of the date on which the reservation was made.
Cancellation charges may be imposed by our company and/or by third-party providers, depending on the applicable terms and conditions.

Cancellation charges apply regardless of the time at which the cancellation is recorded and regardless of whether the corresponding amounts have already been collected from the travelers.
Where two travelers are booked to share a double room and one traveler cancels their participation, the remaining traveler may be required to pay the applicable single-room supplement if the cancellation does not result in 100% of the total trip value being charged.
xi. Adjustment of Disputes
The tourism office and the traveler undertake to make every reasonable effort to resolve, in good faith, any dispute arising during the performance or execution of the travel services or package.
I
f the parties are unable to reach an amicable resolution, they undertake to contact the Amicable Dispute Resolution Committee of HATTA and request mediation, where applicable.
If an amicable settlement cannot be reached, the dispute shall be submitted to the competent courts of Greece, subject to applicable law.
